We are committed to protecting your personal data. This privacy policy explains when and why we collect personal data, how we use it, how we keep it secure, and the rights you have in relation to it. Please read it carefully alongside any applicable Terms & Conditions.

For the purposes of the applicable data protection legislation, including the UK GDPR and the Data Protection Act 2018, we are the data controller of the personal data we process, meaning we are responsible for deciding how it is held and used.

1. The personal data we collect

Depending on your relationship with us, we may collect and process the following:

If you apply to be represented by us (Talent): your name, date of birth, location, contact details (email and phone), Instagram or other social handles, physical measurements and characteristics, and the photographs or images you submit to us.

If you are represented by us (Talent): the information above, together with any additional information we need to manage and promote your career, including booking history, availability and payment details.

If you engage our services (Clients): your name, contact details, company details and any information necessary to fulfil a booking or engagement.

If you visit our website: technical information such as your IP address, browser type, the pages you view and how you interact with the site, collected through cookies and similar technologies.

2. How and why we use your personal data

We use your personal data to:

• assess and respond to applications from prospective Talent;

• represent, manage and promote our Talent to Clients and other agencies;

• publish Talent profiles and images on our website, in client packages and on our social media platforms during representation;

• arrange and administer bookings;

• operate, maintain and improve our website;

• communicate with you; and

• comply with our legal and regulatory obligations.

Our lawful bases for processing are, depending on the context: your consent, the performance of a contract with you, our legitimate interests in running and promoting the agency, and compliance with legal obligations.

3. Public use of Talent material

Please note that if you are accepted for representation, the content of your application and the material you provide may be made publicly available by us on our website, in client packages and on our social media platforms. This use forms part of representing and promoting you and continues for

the duration of your representation. It ceases when your representation with us ends, although material already published or distributed by third parties may remain in circulation outside our control.

4. Who we share your personal data with

We may share your personal data with:

• Clients, in order to promote you and arrange bookings;

• Affiliate Talent Agencies, being agencies in other territories who place or represent our Talent, in order to fulfil our obligations to you and to develop your career internationally;

• service providers who support the running of our business, such as IT, hosting and administrative providers; and

• authorities or third parties where we are required to do so by law.

We do not sell or rent your personal data to third parties.

5. International transfers

Because we work with agencies and clients in other countries, your personal data may be transferred outside the United Kingdom. Where it is, we take steps to ensure it remains protected in line with UK data protection law.

6. How long we keep your personal data

We keep your personal data only for as long as necessary for the purposes set out in this policy, including to satisfy any legal or reporting requirements. Where you have applied but are not taken on, we keep your application only for as long as reasonably needed before deleting it.

7. Your rights

Under data protection law you have the right to:

• access the personal data we hold about you;

• ask us to correct inaccurate or incomplete data;

• ask us to delete your data;

• restrict or object to our processing of your data;

• request the transfer of your data; and

• withdraw your consent at any time, where we rely on consent.

8. Minors

We represent and accept applications from individuals aged 16 and over. Where an applicant or Talent is under 18, we require the consent of a parent or guardian, and we expect that parent or guardian to be involved in managing the young person’s data and relationship with us. If you are a parent or guardian and believe we hold data about your child that you wish to review or remove, please contact us at info@poetrymanagement.com.

9. Cookies

Our website uses cookies and similar technologies to help it function and to understand how visitors use it. You can manage or disable cookies through your browser settings, although some parts of the site may not work properly if you do.

10. Fraud and impersonation

We only ever contact applicants and Talent through our official channels, and by email in the first instance. We will never ask you to pay for shoots, castings or representation. If someone contacts you claiming to represent Poetry Management through any other channel, or asks you for payment, it is not us. If you are unsure, please verify directly with us at info@poetrymanagement.com.

11. Complaints

If you have any concern about how we handle your personal data, please contact us first at info@poetrymanagement.com so we can address it. You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK regulator for data protection, at ico.org.uk.

We may update this policy from time to time. The current version will always be available on our website.

Appendix: Definitions

Talent – models and other individuals who are represented by us, or who have applied or are considering applying to be represented by us.

Clients – any person, business or organisation who engages, or is looking to engage, the services of our Talent.

Affiliate Talent Agencies – model or talent agencies in other territories who place, represent or work with our Talent on our behalf, or on whose behalf we place or represent talent.

Data protection legislation – the UK GDPR, the Data Protection Act 2018, and any other applicable laws relating to the processing of personal data and privacy.
